Status of getting delivery of cots and blankets
Status of delivery of papergoods
Status of availability of office furniture

4.      Develop cost of supplies and maintenance items for FY08-09 budget

5.      Schedule the shelter worker training

6.      Schedule our next committee meeting

Good news!~ I've been notified by Jim Budway, Director of the Cumberland County EMA that our grant application for $25,000 for a generator for the town shelter complex has been approved.~ We will get a letter from the Maine EMA shortly with details on when funds will be available.~ As soon as we do, I'd like to initiate the RFP bid process so the work may begin as soon as funds are available and weather permits.

Eric Sawyer has prepared a couple of maps for the shelter and has sent a draft for our review.~ I've sent these to you under a separate e-mail.~ Please get back to me with your suggestions and comments.

Our next meeting is Wednesday, January 9, at 9am at the town offices.~ Please let me know if you can attend.

IMPORTANT!!~ YOUR IMMEDIATE ATTENTION NEEDED!

~Supply Budget

At our last meeting we discussed having supplies on hand at the shelter to handle 200 people for 3 days.~ This equates to about 1,000 each of the following items:

Paper products - plates, cups, plastic utensils, paper towels, toilet paper, diapers, napkins
Plastic - trash bags, storage totes for all of the above plus storage of 80 blankets.
Cleaning supplies - cleanser, disinfectant, mops, brooms
Food - 500 MREs, 2 pallets of bottled water

I need one of you to take the lead, pick up the phone, and get rough cost estimates for these items.~ If we are able to get donations, all that is to our good, but we need to know what it would cost if we had to purchase all of these.

Items for the command post

Some we need to buy and some we can expect to get donated.~ But we need costs for those items we will need to buy, including 2 white boards and office supplies (paper, staplers, post-it notes, pens, markers, etc).

Items we hope to get donated include 2 desks, 4 chairs, and a 4 or 5-drawer filing cabinet.~ What is the status of these donations, or should we move to get them from state surplus?

Dan said that he has found a home for the recreation items stored in the command post area.~ Are any of you available to help move items when the time comes?~ Hopefully soon?

Our FY08-09 budget season is upon us!~ I need cost estimates to purchase all of this ASAP so that it can be included in our community shelter budget request.~

Maintenance Budget

What will it cost to upgrade 1 shower?~ Both showers?~ We discussed at our last meeting that if possible with the money we have in the FY07-08 budget we will do one shower this FY and will budget for the next during FY08-09.~ How much will it cost?~ We need that number ASAP to plan for this year's budget action and also to put into our budget request for work to be done next year.

Jason -~ What is the status of the projector room work?~ We need to get this finished so we can move the cots and blankets and other supplies up there as soon as possible.

We've been talking about this for a couple of years, folks, and it is time to do not just talk about it.~ We are so close to making our community shelter a reality - let's work together to get past these few stumbling blocks and make it happen!
